Brazil is one of the largest markets for A4 copy paper in South America. Earlier this year, we received an inquiry from a distributor based in São Paulo who regularly imports office supplies through the Port of Santos.

The client first contacted us through our website with the following message:

|“We are looking for 80gsm A4 copy paper, standard packing 5 reams per box. Please quote CIF Santos for one container.”

After receiving the inquiry, we replied within a few hours and provided a detailed quotation based on FOB Qingdao and CIF Santos. At that time, ocean freight from Qingdao to Santos was approximately 35–40 days transit time.

During the negotiation, the buyer compared prices from several Asian suppliers. To help the client make a decision, we provided additional information including:

• Paper brightness and opacity specifications

• Moisture-proof packaging details

• Container loading photos from previous shipments

We also shared our standard loading details:

• Port of loading: Qingdao Port

• Container: 20ft container

• Quantity: 1560 cartons (5 reams per box)

After several email exchanges and a WhatsApp call, the buyer confirmed a trial order with 30% deposit and 70% balance against copy of B/L.

The container was loaded in Qingdao within 7 days after production. After the shipment arrived in Santos, the client informed us that the paper quality was suitable for office supply distributors in Brazil. Two months later, the customer placed another order for two containers.
